Verdantia was established in George Town, Penang, after its founder spent several years helping relatives sort through the paperwork of older family members who had passed away without leaving clear records. The experience was common and the difficulty was practical, not legal: papers were scattered across drawers, boxes, and different homes; no one knew what existed; some items were duplicated and others had been lost entirely.
The response was not to offer legal or financial services — those are the province of qualified practitioners — but to do the clerical and archival work that no one else was doing: making a list of what existed, recording where it was, and making sure the people who needed a copy could find one.
The name Verdantia borrows from the Latin root for growing things — a nod to the idea that a well-kept record, like a well-kept garden, is built row by row and tended with patience. The visual language of the practice reflects this: orderly, cool, and made for reading slowly.
Verdantia opened its first public session in June 2024, drawing attendees from across Penang, including families dealing with property records, insurance papers, and decades-old correspondence between relatives and public bodies. Each session is designed so that every general statement about Malaysian estate paperwork cites the published source it comes from. Attendees leave with that source list in hand.
The practice expanded to offer document indexing in late 2024, and multi-household coordination from early 2025, as it became clear that many families needed help coordinating records held in several states — a common situation in Malaysia, where siblings often live and work far from the family home.
All work remains organisational and archival in scope. Verdantia holds no view on any family matter and refers all questions requiring regulated expertise to qualified professionals in writing.
Mission
To make it straightforward for any family in Malaysia to know what papers they hold, where those papers are, and who in the family knows most about them — so that nothing is lost and nothing needs to be reconstructed from memory.

Lim Kah Wai
Founder & Lead Coordinator
Kah Wai spent twelve years in records management for a Penang public institution before founding Verdantia. She leads all multi-household engagements and designs the monthly session content.
Rajan Nair
Document Indexer
Rajan carries out household visits for the Document Locator and Index Build service. He has a background in library science and brings careful attention to naming conventions and physical storage conditions.
Amirah Yusof
Session Coordinator
Amirah manages the logistics of monthly sessions and maintains the referral directory. She liaises with families ahead of engagements to understand what questions they are hoping the session will address.
How the Work Is Kept to Standard
Written Engagement Letters
Every engagement begins with a written letter confirming its scope, its price, and what it does not include. Both parties keep a copy before any visit takes place.
Scope Held Firmly
Coordinators are trained to decline questions that fall outside clerical and archival work. Regulated questions are referred in writing to the appropriate qualified professional.
Encrypted Storage
All digital copies produced during an engagement are saved in a password-protected archive using current file-encryption standards. Verdantia deletes its copies once the engagement closes.
Source Citation in Sessions

Data Handled Under PDPA 2010
Verdantia processes personal data in accordance with Malaysia's Personal Data Protection Act 2010. Data collected during engagements is used solely for the purposes stated in the engagement letter. PDPA 2010 (Act 709)
Quarterly Review in Long Engagements
In the nine-month multi-household coordination, a named coordinator holds a review call with participating family members every quarter to confirm the index is current and outstanding items are logged.
The Kind of Work Verdantia Does
Families in Malaysia face a particular set of practical challenges when a parent or grandparent passes away. The papers involved in estate administration — grant of probate, letters of administration, land title records, EPF nomination forms, insurance policy schedules, share certificates, and bank correspondence — can span decades and multiple institutions. Many of these documents are held in physical form only, stored wherever the household kept important papers.
A clerical index does not resolve any of these matters. What it does is establish, plainly and in writing, what papers a household holds, where each one is kept, and which family member is most familiar with it. This is the starting point from which solicitors, estate administrators, and financial advisers can work efficiently. A household that arrives at a professional appointment with a clear index moves through the process more smoothly than one that does not know what it holds.
Verdantia's public sessions address the knowledge gap that exists before families approach professionals. Many people do not know which public bodies are involved in Malaysian estate administration, what documents each body expects to see, or where to find published guidance on the process. The practice is based in George Town because that is where it was founded, but the multi-household coordination service operates across peninsular Malaysia and has worked with households in Selangor, Johor, Perak, and Sabah. Families who are based outside Penang are welcome to enquire.
